In your letter:

Dear Sir or Madam,

However, I am writing to respectfully decline the offer. At the time of your communication, I had already committed to a prior offer from another facility.

As I have already signed the contract and finalized the commencement date, I am unfortunately unable to retract my acceptance to join your team.

Please accept my sincere apologies for any inconvenience this may cause in your recruitment process. I have a high regard for your hospital and hope that our paths might cross again in the future.

Your local bookshop has invited members of the public to recommend a guest speaker for an upcoming event that will include a series of talks from well-known people.
Write an e-mail to the bookshop. In your e-mail:
- suggest a speaker.
- say what they would contribute to the event.
- explain why other people would be interested too.

Dear Sam,

I am Neha, a resident of Green Park Society which is located just around the corner from your bookstore. I am writing in response to your email inviting the public to recommend a guest speaker for your upcoming event.

I would like to suggest Mr. Sarabhai, a highly respected member of our community. As the founder of a local NGO for the elderly, he could provide invaluable insights into the challenges people face as they age. Specifically, he could speak about health precautions and offer creative ways for seniors to optimally utilize their leisure time during their sunset years.

Given that a large portion of your regular customers are retirees, I believe this session would be incredibly relevant and well-received. His expertise would offer them both practical advice and inspiration.

Please let me know if you would like to proceed with this suggestion, as I would then be happy to approach Mr. Sarabhai to discuss his availability for the event.

I look forward to seeing you there.

Best regards,
Neha

You ordered a new cheque book from your bank two weeks ago but you have received nothing. You should write at least 150 words.
Write a letter to the manager complaining about the bad service.
- Say when and how you ordered the cheque book.
- Ask how much longer you will have to wait.
- and ask the manager what action he will take over this matter.

Dear Sir,

I am Neha Nagori, a retired teacher and a long-standing savings account holder at "The Public Bank." I am writing to formally lodge a complaint regarding the unacceptable delay in receiving my new cheque book.

I placed the order exactly two weeks ago, on 25th December, via your bank’s online portal. At the time of the request, I was led to believe that the process would be efficient; however, the status of my order has remained "pending" ever since. This level of service is quite disappointing given the esteemed reputation of your institution.

As I rely on these cheques for my monthly expenses, I would like to know exactly how much longer I am expected to wait. Furthermore, I request that you personally intervene to expedite this request and ensure the cheque book is dispatched immediately.

Could you please clarify what steps you will take to resolve this matter and prevent such delays for loyal customers in the future?

I look forward to your prompt response.

Yours faithfully,
Neha Nagori

You would like to buy some electrical goods at a shop in a nearby town.
Write a letter to the shop and ask if they have the things you want or whether they will be able to order them. Ask what the prices are and how long they will be able to hold the goods for you. You should write at least 150 words.

Dear Sir,

I am Neha, a resident of Pink Villa Society in Halol. As I am currently renovating my home, I am writing to inquire about the availability of several electrical items at your shop in Kalol.

I am interested in purchasing the following: two LED bulbs, 500 meters of copper wiring, four ceiling fans, and various equipment required to set up a small home studio. Could you please confirm if these items are currently in stock? If any are unavailable, would you be able to order them specifically for me?

Additionally, I would appreciate a price list for these goods. Because power outages and voltage fluctuations are common in my area, I am specifically looking for high-quality, durable materials that can withstand such conditions. Please let me know if you offer any warranties on these products.

Finally, as I plan to visit your shop early next month, could you let me know how long you would be able to hold these items for me once the order is confirmed?

I look forward to your prompt response so that I may finalize my renovation plans.

Yours faithfully,
Neha

You live in a room in college which you share with another student. However, there are many problems with this arrangement and you find it very difficult to work.
Write a letter to the accommodation officer at the college. In your letter,
• describe the situation.
• explain your problems and why it is difficult to work.
• say what kind of accommodation you would prefer.

Dear Sir/Madam,

I am Zoya, a first-year Arts student residing in Room 27, Block B. I am writing to formally request a change in my accommodation due to ongoing difficulties with my current room-sharing arrangement.

Over the past few months, I have encountered several issues regarding my roommate's lack of respect for shared space and personal belongings. Most significantly, she frequently invites large groups of friends over during evening hours. This creates a chaotic environment that makes it nearly impossible for me to focus on my studies, particularly during exam periods. Despite my repeated requests for a quieter environment, her behavior has not changed.

Consequently, I find it increasingly difficult to maintain my academic performance while living in this room. I would, therefore, like to request a transfer to a different block. Ideally, I would prefer a single room or to be placed with students from the same faculty who share similar study habits.

I look forward to hearing from you regarding a potential solution to this matter.

Yours faithfully,
Zoya

There have been several complaints about the reception area where visitors to your company arrive. Your manager has asked you to suggest how the reception area could be improved.
Write a letter to your manager. In your letter,
• Describe the complaints that have been made.
• Say why the reception area is important.
• Suggest how the reception area could be improved.

Dear Sir,

I’m Neha Gupta, the head of administration in your company, and I am writing this letter in response to your request for my suggestions regarding improvement of the reception area.

Since we are an event management company, lots of clients visit our offices and must often wait in the reception area to meet the executives assigned to them. Our business has increased a lot in the past year, thereby attracting many new clients. Hence, one of the biggest complaints we keep receiving is the lack of seating space. It is bad for our reputation to keep such high-value clients standing while waiting for an executive to attend to them. Furthermore, paper cups are often not available at the water cooler, and our office assistant is also not very attentive. This is another frequent complaint that has been received.

I suggest that the reception area must be widened. This can be done by breaking down the wall between the reception and the executives’ workstations and extend the reception area to occupy the extra corridor provided around the workstations. Further, request the receptionist to ensure that the office assistant maintains stock of the paper cups near the water cooler.

I hope my suggestions are satisfactory. I assure you of my assistance in implementing them.

Thanks, and Regards
Neha

You recently ordered a small item online but when it arrived, it was unusable. Write a letter to the company that sold you the item.
In the letter:
• Give details about the order you made.
• Explain what was wrong with the item.
• Tell the company what you want them to do about it.

Dear Sir/Madam,

I’m Sandhya Shah, a resident of Vadodara and I had placed an order for a pair of Levi Jeans last Sunday, the 17th of Jan’2021 from your eCommerce website, www.amazon.in. I was very pleased with the timely delivery but extremely disappointed upon unpacking the product, for the reasons mentioned below:

As per the size chart given next to the product on your website, I selected the pair with a 32-inch waist. Unfortunately, the jeans do not fit me at all. I measured the waist using a measuring tape and it shows 28-inches but the tag on the jeans says its 32-inches. I suspect some manufacturing flaw in tagging the size.

Regarding the details of my order, the order number is 2378767, delivery address was to my residence in Orion Towers, and payment was done using my SBI Credit card.

I sincerely request you to arrange for a replacement of these jeans with the correct size. You can check with your records; I am an Amazon Prime customer so I hope you will replace the item within a month as per the replacement commitment mentioned on your website.

Hoping to hear from you soon.

Yours faithfully
Sandhya Das

You were doing a short course in another country. All of a sudden, you had to leave the course and fly back to your home country.
Write a letter to your teacher, and in your letter:
– express your gratitude.
– explain why you had to leave.
– explain what part of the course you enjoyed the most.

Dear Ma’am,

I’m Neha Gupta. I’m a student from India and I was attending a Professional Editing course in the Boston campus of Columbia University. I am writing this letter to apologize for cutting short the three months course and leaving without intimating you.

Firstly, I would like to express my heartfelt gratitude for permitting me to attend in-person classes at your prestigious university. The course was so informative. I especially enjoyed the part when you gave us examples of how a writer can actually bring a sunrise to life for a reader by explaining the changing colors of the sky or how a writer can talk about slamming doors or banging desks to indicate the protagonist is angry.

It was my misfortune that I had to abruptly leave the course and fly back to India. My father suffered a massive heart attack and I wanted to be at his bedside. He has recovered now and I hope I will be able to join the next session.

Thank you once again for all the inputs you have imparted in the two months’ I was able to attend your sessions. (187 words)

Yours faithfully,
Neha Gupta
